Scope:
Reporting to the Sr. Project Manager, Global Workplace Solutions the selected candidate will ensure the successful delivery of small projects, in line with agreed objectives, within scope, quality, time, budget targets, and manage associated risks.
You will work under the direction of the Sr. Project Manager to establish the technical and organizational framework of the project ensuring business continuity for critical services and property including maintenance and minimize disrupting business operational periods.
Work closely with representatives from business divisions and other support functions including Purchasing, Finance, QHS&E, Real Estate, & Facilities Management.
Key Responsibilities:
Project Management
Work closely with Stakeholders to define requirements (number of employees, quantity of equipment, storage capacity, utility needs, space needs, etc.) and translate these into the project Scope
Work with Architects, Engineers, and Facility Management to create concepts and detailed plans
Work with purchasing to produce the request for proposals (RFP’s), contribute to the creation of selection criteria, and participate in the selection process of the contractor(s).
Review project scopes with external contractors for pricing.
Complete Firmenich’s project investment documentation comprising of a PPT presentation Template and High level Project Charter
With guidance from the Sr. PM, Develop project schedules, costs, scope, risk identification, communications, and mitigation.
Ensure projects are completed within planned time-frames, budget, scope, and signed off accordingly
Develop up-to-date contractor lists of all trades and ensure proper Pre-Qualification processes are followed.
Follow H&SE guidelines for each specific site area and infrastructure related requirements for the Lab and Office complex.
Complete Firmenich’s Project Closeout processes.
Facility Management:
Participate in the Quality Performance Services audits for Canteen, Janitorial, Reception, Security, Landscaping, etc. and input all “action” findings into the Workplace Work Request system.
Support the development of Work Instructions to close gaps in workplace/facilities processes.
Receive monthly utilities invoices, reconcile invoices in utility tracking spreadsheet and execute the monthly utility accrual process.
Oversee and support as a laborer one or more comprehensive preventative maintenance activities across all major building systems: HVAC, Electrical, Plumbing, Sewer, Exhaust systems and Calibrations.
Support the development and presentation of the annual Maintenance Operational Report
Support the development and presentation of the annual Security Operations Report
Participate in the monthly Workplace IFM Governance meetings and take all meeting minutes
Support the development of Security Standard Operating Procedures (SOP’S)
Identify one soft service (Canteen, Janitorial, Reception, Security, Landscaping, mail package, and sample delivery) one best Practice per month.
Participate in Fire Evacuation process audits
Real Estate:
Update and maintain Space & Occupancy floorplans in Computer-aided Facility Management (CAFM) Space system
Complete Observational Utilization studies for office and lab areas, create report on key observations and present to Site FM leadership.
Perform data accuracy audits to Global Real Estate Portfolio while analyzing various dashboards, reporting, trending and forecasting.
Analyze badge & sensor utilization data for sites from various regions and help with reporting and recommendations.
Work with a Real Estate team on Key Metrics used to measure RE efficiency, vacancy, occupancy, cost/sqm, cost/person and so on.
Work on a team to understand what is involved in Commercial Real Estate Transactions.
Work on a team to understand what is Strategic Occupancy Planning, Space Planning and Space and Occupancy Data Management.
Profile/Requirements:
Student majoring in Construction Management / Engineering / Hospitality
Strong interpersonal and organization skills
Excellent client relationship skills
Capable of working both independently and in a team, with strong collaboration skills
Positive and dynamic
Rigorous, self-motivated and results-orientated with good problem solving and analytical skills
Be proficient with Microsoft Excel, Word, and Power Point. Experience with MS Project a plus
Have excellent presentation and strong communications skills both orally and written.
Previous work in similar capacity desirable but not required
